Why Your Lead Follow-Up Isn't Working
What this video covers
Why lead follow-up fails for most agents: not because they aren't calling enough, but because every touchpoint is a check-in with no reason to respond. This video walks through the five-touch follow-up sequence that earns responses by delivering value at every stage. It gives you a concrete system you can apply to your current pipeline this week.

Introduction
0:00 Here's a question I want you to sit with for a second. When your follow up isn't converting, when leads go quiet, when the pipeline feels thin, when you're reaching out and getting nothing back, what do you tell yourself the problem is? Most agents land on the same answer. I need to follow up more, more calls, more text, more touch points, more volume. And I understand why that feels like the right answer.
0:24 It sounds like accountability. It sounds like effort, but for most agents, it's the wrong diagnosis, and following that diagnosis straight into more activity is exactly why the problem doesn't get fixed.
0:39 Today I wanna break down why real estate lead follow up actually fails and then give you a concrete five sequence that earns responses instead of just requesting. If you're working hard, staying active, and still finding that your follow up is getting ignored, this is gonna hit close to home. So let's go and get into it.
Why Follow-Up Fails
0:59 Here's the thing about follow up volume. The number of times you reach out matters far less than what you're actually saying when you do. The reason most follow up fails isn't frequency. It's that every single touch point is a variation of the same exact check-in. Just want to see where you were at. Checking back in.
1:20 Any update on your timeline? And the person on the other end of that message feels exactly what it is, someone reaching out because they want to know if they can close a deal, not because they actually have something to offer.
1:34 People don't ignore follow up because they've lost interest. They ignore it because there's no reason in the message to respond. When every contact has a request for information about their decision, you've made the conversation about your need, not the actual situation. The NAR research on this is consistent.
1:53 Most buyers and sellers choose the first agent who establishes trust and stays present in a useful way, not the one who calls the most frequently, the one who shows up with something worth paying attention to every time they appear. So before we get into that framework, I want you to audit something.
2:13 Pull up the last five to 10 messages you've sent to leads. How many of them delivered something of value, a specific market insight of relevant property, a resource they could actually use versus how many were some version of just checking in? Be honest with yourself. That ratio is probably telling you most of what you need to know.
2:37 Now, let's fix it.
The Value-Based System
2:39 The core idea behind a value added follow-up system is simple. Every contact has a reason, not a reason for you to reach out, a reason for them to respond. That distinction changes everything. A check-in says, I need to know where you are. A value touch says, here's something that's relevant to where you are.
3:00 One creates friction. The other creates goodwill.
3:03 Think about the difference between these two messages. Option one, Hey, just following up. Still thinking about making a move this year. Option two. I pulled three properties that came on on your target area. Two were priced about 8% below the comps for the last three months. Wanted to make sure you saw these before they moved. Want me to send you full details?
3:22 Both are follow up. One is a check-in, the other is an actual service. That's the distinction between what separates agents who build pipelines from agents who exhaust it. And the mechanics behind that second message, the specificity, the relevance, the low friction next step, that's what the five touch sequence is built around.
The 5-Touch Framework
3:43 Let's get into the framework. This is not a script. It's contact logic, a reason why each touch happens, what it delivers, and the response it's designed to earn.
Touch 1: Value Frame
3:54 Touch one, establish the value frame. Timing within 24 to 48 hours of your first contact. This touch is about calibrating their expectations. Most agents lead with an introduction.
4:08 I'd love to help you find a home and then wonder why nobody responds to their follow-up a week later. Touch one is different. It establishes what kind of follow up they're about to receive from you.
4:21 Something like this. I wanted to make sure you knew what to expect from me. I don't send generic updates. I'll reach out when I have something specific to your situation. A relevant listing, a market shift that affects your range. A change I think you should know about. If I go quiet, it means nothing's coming up that's worth your attention. If I'm calling, it's worth picking up.
4:43 You are setting a frame. You're telling them your follow up will have a reason. That one move separates you from every other agent sitting in their inbox.
Touch 2: Market Insight
4:52 Touch two, deliver a market specific insight. Timing is about five to seven days after your very first touch. This is where you actually start to earn credibility. Send something specific, a price reduction in their target neighborhood, an inventory trend in their price range, a recent comp that changes the picture.
5:13 It doesn't have to be long. It has to be accurate and useful to them.
5:17 I wanted to flag something. Inventory in the 350 to 400 range in Port St. Lucie dropped 14% this month compared to last quarter. If you're still targeting that range, the window for negotiation is narrowing. Worth a conversation when you're ready.
5:32 You're not asking for anything. You're watching the market on their behalf. That's what earns the next engagement.
Touch 3: Address Objections
5:40 Touch three, address the most likely objection, 10 to 14 days in.
5:45 By this point, if they haven't responded, something's holding them back. Most of the time it's one of three things. Timing uncertainty, financial uncertainty, or they're still deciding whether to use an agent at all. This touch picks the most likely friction and addresses it directly, not defensively, practically.
6:04 A lot of people I'm talking to right now are working through the same question. Is this actually the right time to move or does it make more sense to wait? I put together a quick breakdown of how that decision looks in today's Treasure Coast market. It's not a pitch, it's just the math. Want me to send it?
6:20 You're naming their hesitation before they have to. That's the kind of move that shifts you from another agent to someone who actually pays attention.
Touch 4: Personal Reengage
6:30 Touch four, reengage with something personal. Timing on this is about 21 to 28 days in. This is where most follow-up sequences start to fall apart. Agents either go absolutely silent or keep recycling the same market update. Neither earns a response. Touch four references something specific from your first conversation.
6:52 It's their timeline, their situation, something they actually mention and connects back to it.
7:00 You mentioned back when we first talked that you were watching what happened with interest rates before making a move. We're now about six weeks from that conversation. Wanna check back in and see where that stands for you? That single detail, the fact that you remembered something they said moves people from this is an agent just following up to this is someone who is actually listening.
Touch 5: Clean Exit
7:20 Touch five, offer the clean exit, 30 to 45 days.
7:24 If they haven't responded by now, this touch does one of two things. It reengages them or it gives them a clear way out. Both outcomes are useful. I've kept your search active and nothing has come up that I'd actually recommend bringing to your attention. I'll keep watching. But if your situation has changed or you decide to put things on hold, just let me know and I'll update my notes.
7:46 No pressure either way. I'll reach back out when something worth flagging comes up.
7:51 This is the most underestimated close in real estate. Releasing pressure almost always creates a response. People feel safe enough to tell you where they actually are and if they're still interested, this reopens the conversation naturally
8:05 After touch five, you don't have to abandon the lead. You move them to a lower frequency nurture cadence, monthly or quarterly. But for active leads, the five touch sequence gives you a purposeful structure for every single contact.
8:20 Here's why this works. I mean, it's not complicated. When you turn your CRM into an actual system rather than a contact list, every name in it has a next step attached to it, and the next step is designed for their situation, not your urgency. The five sequence does that by design. Every message delivers before it requests.
8:42 Every contact earns that next one and over 30 to 45 days, you're building a track record with that person. A pattern of showing up with something useful that makes you the natural choice when they're ready to move.
8:56 This also matters specifically for the Treasure Coast market. A significant share of the buyers and sellers in this market are coming from outta state. They're navigating a totally unfamiliar market, often remotely, and they're deciding who to trust with the what is probably the biggest financial decision they'll make in this period of their life.
9:16 The agent who shows up with specific, relevant local knowledge every time, not generic follow up, wins that rela relationship at a disproportionate rate.
9:27 The agents at LYNQ work through this system as part of their core business coaching. It's not a hack. It's what changes the way you think about the what follow up is actually for.
Action Steps
9:37 Let me give you five things you could do this week to start putting this into practice. Now, first, audit your last 10 follow up messages. Pull them up right now, classify each one. Did it deliver something of value or was it a check-in? The audit will tell you exactly where your conversion is leaking. Second, write your touch one message, draft a value frame opener for your primary lead type.
10:03 Write it in your own voice. The framework gives you the logic. The words should sound like you. Third, identify three market data points you can pull in under five minutes. Absorption rate, median days on market, price per square foot trend for a specific zip code. Have them ready for touch two. Fourth, go into your CRM right now and find a lead you haven't contacted in 15 to 30 days.
10:31 That's a touch four candidate right now. Find a detail from your first conversation and write that message. And the fifth, make touch five a standing practice for any lead that hasn't responded after 30 days. The pressure release choice is underused. It works. Start using it.
10:51 Here's the thing about follow-up systems. They don't work because they're clever. They work because they're consistent. The agents who see the biggest improvement aren't the ones who send the most sophisticated messages. They're the ones who show up with purpose every single time for 30 to 45 days.
11:11 That's a standard most agents set for themselves once and then let it drift. The ones who hold it consistently are the ones whose names come up when a lead is finally ready to make a move.
Wrap Up & Resources
11:22 If you wanna talk through where your follow-up is breaking down, what's working, what's getting ignored, where the gaps are, I'm happy to have that conversation. There's a link in the description to book a 30 minute growth strategy session. No pitch, just a genuine look at where you and what you're actually need help with.
11:40 I also wrote the full version of this framework as a blog post with all of the templates, step by step breakdowns and the exact message structures. That link's in the description too.
11:50 If this was useful, a like or a subscribe goes a long way for growing this channel, and if you know an agent who's hitting this wall right now, send it to them. I'll see you on the next one.
